Accounts Receivable and Licensing Office Assistant

The Town of Drumheller is seeking a dynamic customer-centric professional to fill the position of Accounts Receivable and Licensing Office Assistant within the Finance Department.

Reporting to the Finance Manager, this position is responsible for the administration of business and animal licensing and accounts receivable. This customer-centric position is the first point of contact for Town Hall and is responsible for front counter cashier and receptionist duties; telephone contact with the public and the provision of information and referral services. This position will also act as the primary backup for Payroll. The incumbent must be comfortable working with varying workloads, frequent interruptions and be willing to learn the required payroll competencies.

Specific Accountabilities include, but are not limited to:

  • Maintains the business licensing module. Administers and updates the business license register, including invoicing. Ensures penalties are levied, where applicable, and month-end procedures are carried out. Coordinates required enforcement with bylaw services for outstanding business license renewals.
  • Maintains the account receivable module. Ensures requests for billing and credit billings have proper authority. Ensure penalties are levied, where applicable, and month-end procedures are carried out.
  • Receives required documentation for animal licensing, records and confirms account information for the animal licensing system.
  • Confirms payment for bylaw offence tickets, record payment, and issues invoices.
  • Performs month-end reconciliation of ActiveNet.
  • Performs cash reception duties for Town Hall and is the first point of contact for all public phone and in-person inquiries.

  • Ensures mail for Town Hall is sorted and distributed to the proper departments.
  • Acts as the backup for the Payroll Administrator.
  • Familiar with and adheres to the Town of Drumheller's safety policy and relevant Occupational Health and Safety legislation.
  • Performs other related duties as required by supervisor.

Qualifications:

  • Grade 12 or equivalent. Preference will be given to those with post-secondary education in accounting or business administration, or the equivalent in experience preferably in a municipal environment.
  • Proven ability to work independently and perform all duties with a minimum of supervision.
  • Proven ability to manage workloads and time effectively to meet deadlines.
  • Intermediate proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
  • Strong verbal & written communication skills.
  • Hands-on use of accounting software.
  • Experience in basic accounting practices, including journal entries and reconciliations.
  • Experience in payroll processing an asset.
  • Strong work ethic and a positive, collaborative team attitude.
  • Confident self-starter with a proactive approach to problem-solving and initiative.
  • An exceptional eye for detail and accuracy.
  • Incumbent is expected to take the Payroll Compliance Professional base competency training courses and cross-train for the payroll position.

Additional Information: This position is located at Town Hall in Drumheller, and candidates must be able to work onsite full-time.

Employment Category: Permanent Full-Time

Hours per Week: 37.5 hours - Monday to Friday

Pay Scale: $24.93 - $30.55/ hour (Office Assistant I - CUPE 4604)
